
SUMMERFIELD TOWNHOUSE SERVICE ASSOCIATION NO. 5 (EPSILON)
Homeowners Association # 5's Board of Directors is a volunteer group of homeowners with a general knowledge and understanding of the Association daily operations. They have knowledge and understanding of the governmental regulations and ensure that the Members of Association #5 comply with those regulations.
Executive Officers:
the officers of the corporation shall consist of a president, one or more vice-presidents as the Board of Directors may from time to time determine and with such designations as the Board of Directors may assign, a secretary and a treasurer. Any two (2) or more offices may be held by one (1) person except the offices of president and secretary.
The President:
Our President is the chief executive officer and has general and active charge of the management of the corporation, subject to control by the Board of Directors. The President presides at all meetings of the directors. The President shall have the power to appoint and discharge agents and employees, subject to the approval of the Board of Directors. He/she is also the main interface with our insurance agent and our attorney.
The Secretary:
Our Secretary gives notice of Board of Directors meetings as required by the bylaws and keep minutes of all such meetings. He/she distributes the minutes to all residents. The Secretary keeps custody of all the books and records and papers of the corporation except those which are in the care of the Treasurer or some other person by resolution of the Board of Directors.
The Secretary is authorized to sign with the President or Vice President in the name of the corporation all official documents, papers, deeds, and contracts, including those in any way affecting the property interests of the corporation.
The Treasurer:
Our Treasurer accounts for all the monies of the corporation received and disbursed and presents financial statements at each regular Board of Directors meeting. He/she deposits all Association funds in a financial institution approved by the Board of Directors. He/she accounts for all reserve funds and reports reserve status to the Board. The treasurer also tracks HOA assessments owing and paid by residents and notifies the Board of unpaid assessments. The Treasurer works with other Board Members to create an annual budget that meets the needs of our residents and provides adequate reserves.
The Landscape Vice President:
Our Landscape Vice President is responsible to make sure that our beautiful community is well landscaped and conforms to the landscape guidelines of the SCA. As our interface to the Landscaping contractor, he/she communicates resident requests, negotiates landscape changes, and makes sure that these changes are properly completed. In addition, he/she makes recommendations to the board as to the maintenance of any and all landscape systems. The Landscape V.P. prepares an annual budget for landscaping services and landscape maintenance. When required he/she evaluates prospective landscape companies and makes recommendations to the Board.
The Landscape Vice President shall, in the absence or disability of the President, exercise the powers and perform the duties of the President. He/she shall also exercise such other powers and perform such other duties prescribed by the Board.
Maintenance Vice President:
Our Maintenance Vice President has responsibility that our beautiful community is well maintained, safe, and secure. He/she receives requests or problem notifications from residents, evaluates the best course of action, and may contract with specialty companies, with Board approval, for resolution. He/she is ever vigilant to determine specific maintenance as needed to keep the properties well maintained and safe. The Maintenance Vice President prepares an annual budget for maintenance services. He/she makes recommendations to the Board for reserve expenditures that may be required.
The Maintenance Vice President shall, in the absence or disability of the President, exercise the powers and perform the duties of the President. The Vice President shall also exercise such other powers and perform such other duties as shall be prescribed by the directors.
The following positions are not members of the board but are an integral part of the functioning of the association.
Assistant to the Maintenance Vice President:
This assistant is not a member of the board but works with the Maintenance Vice President on maintenance projects for the benefit of our community. He/she acts as “another set of eyes” to view our grounds and property for necessary maintenance and repairs.
Neighborhood Watch Coordinator:
is not a member of the board, but does looks out for the safety and well being of the HOA members and communicates safety and disaster preparedness information to the Board and owners. This important information is also posted on the website always ready for reading.
WebMaster:
The Webmaster not a member of the board but is responsible for creating and maintaining the website for HOA #5. He/she works with all board members and owners to provide timely and accurate information to be posted on the HOA website.
